PingDaily User Manual

Welcome to PingDaily — WhatsApp reminders made simple for clinics, salons, tutors, gyms and every small business in India. This guide walks you through every part of the app in plain English, in the order you’ll actually use it: sign in, set up your profile, send your first reminders from our shared WhatsApp account, then graduate to your own WhatsApp Business number and bring your team along.

1. Sign in & pick your business

Download & open

  1. Install PingDaily from the Play Store or App Store, or open the web app at app.pingdaily.app.
  2. Enter your 10-digit Indian mobile number. We add the +91 country code for you.
  3. You’ll get a 6-digit code on WhatsApp. If WhatsApp delivery fails, we fall back to SMS. Enter the code to sign in.

Pick your business type (first time only)

On your very first sign-in we ask one question: what kind of business do you run? Pick the closest match — Doctor, Dentist, Salon, Tutor, Gym, Consultant, and so on. This choice decides which ready-made Reminder Packs you’ll see by default. You can change the business type later from Profile.

If you belong to more than one business

If a business owner has invited you to their team (see Teams), you may have access to two or more PingDaily accounts under the same phone number. After OTP we show a small pop-up asking “Which business do you want to open?” Pick one to continue. To switch later, sign out and sign back in.

Tip: Your session stays signed in on each device. You only re-enter OTP if you sign out manually or change phones.

2. Set up your profile

Open the side menu and tap Profile. A complete profile makes your reminders look more trustworthy to your customers.

  • Your name — how staff and customers will see you.
  • Business name — shown inside reminder messages wherever the template uses the {{business_name}} placeholder.
  • Business type — controls which Reminder Packs appear first.
  • Email (optional) — for invoices and important account notices.
  • Phone number — this is your login number and cannot be changed. If you need to change it, contact support.
If you joined PingDaily as a team member (someone invited you), you’ll only see name and email. Business details are managed by the workspace owner.

3. The home screen at a glance

The Dashboard is your morning glance. From the top you’ll see:

  • Today’s reminders — what’s going out today and what already went.
  • Recent replies — quick peek into the Inbox.
  • Credit balance (when you’re on the shared account) or plan status (when you’re on BYO Pro).
  • Suggested next steps — install a pack, complete your profile, connect your WhatsApp number, and so on.

The left menu (or the menu icon on mobile) is how you reach everything else: Reminders, My Obligations, Inbox, Reminder Packs, Contacts, Add-ons, Billing, Profile and this Manual.

4. Your contacts

Reminders go to people in your Contacts list. Open the menu and tap Contacts.

Add a contact

  1. Tap + Add contact.
  2. Enter the name and 10-digit mobile number. Add tags (e.g. “Class 8”, “Regular”) if it helps you find them later.
  3. Save.

Bulk add

Use Import to paste or upload a list of numbers. We clean and de-duplicate them automatically.

Send the same reminder to many contacts at once

When you want to message a batch of people the same thing — “GST filing due 15 Jun”, “class cancelled tomorrow”, a payment reminder to the 12 parents who haven’t paid yet — you don’t need to open each contact one by one.

  1. On the Contacts page, tick the checkbox next to every contact you want to message. The header checkbox ticks (or unticks) everyone currently visible, so you can search/filter first and then tick the whole filtered list.
  2. A small floating bar appears at the bottom showing “N selected”. Tap Send reminder.
  3. Pick one of your approved WhatsApp templates from the dropdown. The popup shows a Recipients table with one row per contact you ticked, and one column per template variable (Variable 1, Variable 2…).
  4. Edit any cell to personalise per recipient. Each row has its own values, so Anita can get “Hi Anita, your fee for May is ₹2,000” and Rohan can get “Hi Rohan, your fee for May is ₹3,500” in the same batch. Smart prefill helps:
    • Variables that look like a name (e.g. Name, Customer Name) are auto-filled with each contact's name.
    • Other variables (date, amount, course) are pre-filled with the template's example so you only edit what changes.
    • If a value really is the same for everyone — typical for Due Date — type it into the first row and click Apply to all in that column header to copy it down in one go.
  5. A live preview above the table shows what the first recipient will receive, using their row values. Tweak any cell and the preview updates instantly.
  6. Tap Send to N contacts. PingDaily sends each message one after the other and ticks each row off live: Queued → Sending… → ✓ Sent. If a particular send fails (e.g. the contact has opted out, or their number is invalid) you'll see a red ✗ Failed with the reason on hover, and the rest of the batch carries on.
  7. When the batch finishes the header changes to “Sent X of Y”. Close the modal — you can keep your selection if you want to send a second template right after, or tap Clear in the floating bar to start fresh.
  • Maximum 50 contacts per send. If you tick a 51st you’ll get a friendly warning. If you’re sending to more than 20 at once PingDaily asks you to confirm — this is to stop accidental large blasts.
  • Each message becomes a normal one-off reminder, so it shows up in Reminders and in the contact’s Inbox thread just like a single send. Wallet credit is deducted per successful send only.
  • You can only pick templates that are Approved and active. If the dropdown is empty, go to WhatsApp → Templates first and submit one for approval.

Edit, search, opt-out

Tap any row to edit name, phone, or tags. Use the search box at the top to find a contact fast. To stop messaging someone, tap Opt out on their profile — they’ll be excluded from every reminder, immediately.

Tip: Customers who reply STOP (or any of our opt-out keywords — see section 17) are opted out automatically. You don’t need to do anything.

5. Reminder Packs

A Reminder Pack is a ready-made set of WhatsApp messages built for a specific business situation. For example:

  • “Child vaccination schedule” for paediatricians — 9 messages timed from birth to 5 years.
  • “Monthly fee reminders” for tutors and gyms.
  • “Salon — re-book in 30 days”, “Dental cleaning every 6 months”, and many more.

Browse & install

  1. Open Reminder Packs from the menu. Packs are grouped by business type.
  2. Tap a pack to see exactly what messages it sends, and when.
  3. Tap Install. The pack becomes active in your account.

Enrol contacts into a pack

After installing, tap Enrol contacts:

  • Single contact — pick the contact and the anchor date (e.g. child’s date of birth, or the date they joined your gym). PingDaily calculates every reminder date from there.
  • Bulk — pick many contacts at once and set the anchor dates in one go.
You can install as many packs as you like. Each enrolment lives independently in My Obligations.

6. My Obligations (active reminders)

Every reminder you’ve scheduled — whether from a pack or a custom one-off — lives in My Obligations. Think of it as your full calendar of upcoming WhatsApp messages.

Open an obligation

Tap any row to see:

  • Anchor date — edit it any time and every future reminder shifts automatically.
  • Personalisation — fill in variables like {{child_name}}, {{amount}}, {{class_name}} for this particular contact.
  • Send now — fire any upcoming message right away (handy for testing or last-minute nudges).
  • Pause / Resume — temporarily stop a contact without losing their schedule.
  • Recent activity — every message that already went out, with delivery and read ticks.

Search & filter

Use the search box at the top of My Obligations to find a contact quickly, or filter by pack to see (for example) only your gym renewals.

7. Custom one-off reminders

Not every reminder fits a pack. For one-time things — a single appointment, a promo blast, a holiday wish — use Reminders from the menu.

  1. Tap + New reminder.
  2. Pick contacts — one, many, or a whole tag.
  3. Pick a template — choose from the catalog of approved WhatsApp templates. Templates are required because WhatsApp does not allow free-form marketing outside the 24-hour customer-care window.
  4. Fill in the blanks — any variable in the template (date, amount, name) is shown here.
  5. Pick date & time — schedule for any future moment. Or tap Send now.
  6. Confirm. That’s it.
Tip: Until you connect your own WhatsApp number (see section 9), every reminder above — packs and one-offs — goes out from PingDaily’s shared WhatsApp number. The next section explains what that means and what its limits are.

8. Shared WhatsApp account & its limits

To make it easy to get started, every new PingDaily account begins on our shared WhatsApp Business number. You don’t need to apply for anything — just sign in and start sending. Each message uses credits from your wallet.

What the shared account is great for

  • Trying PingDaily without any setup.
  • Low-volume reminders (a few hundred messages a month).
  • Testing whether reminders actually help your business before you invest in your own WhatsApp Business number.

Limitations you should know about

  • Curated templates only. On the shared account you can only use messages we’ve already designed and got approved with WhatsApp. You can’t add your own brand’s wording or create custom templates.
  • The message comes from PingDaily. Your customer sees “PingDaily” as the sender, not your business name on the WhatsApp bubble. The message body still says your business name, but the sender is ours.
  • Shared daily capacity. The shared number has a daily send limit that’s split across all customers using it. In busy hours we may queue your messages briefly.
  • Replies land in PingDaily’s number, not yours. You see the reply inside the PingDaily app Inbox, but your customer is talking to PingDaily — not directly to your business WhatsApp. If they later open WhatsApp and search your business name, they won’t find a chat with you.
  • No green tick / verified name. Verified-business status belongs to whoever owns the number.
  • Pay-as-you-go. Every message uses credits. There’s no monthly plan on the shared account.
For most small businesses the shared account is enough for the first month or two. Once you’re sending regularly — or you want your own brand name on the bubble — move to BYO (next section). It’s a one-time setup and after that messages are dramatically cheaper.

9. Bring Your Own WhatsApp (BYO) setup

BYO means PingDaily sends messages through your own WhatsApp Business number. Customers see your business name on the bubble, replies come to you, and per-message cost drops sharply.

What you need before you start

  • A phone number that is NOT currently on WhatsApp (or one you’re ready to remove from the regular WhatsApp app). A brand-new SIM works best.
  • A Facebook account that manages (or can create) your business page.
  • About 10–15 minutes of uninterrupted time.
  • Your business details: legal name, address, website (if any).

The one-button setup (Embedded Signup)

  1. Open Profile → Connect WhatsApp (or the WhatsApp tile on your dashboard).
  2. Tap Connect WhatsApp. A small Facebook pop-up opens.
  3. Sign in to Facebook (if you aren’t already). Pick or create your Business Portfolio.
  4. Pick or create your WhatsApp Business Account (WABA). You can give it any display name — that’s what customers will see.
  5. Add the phone number you want to use, and verify it with the OTP that arrives on that number.
  6. Click Finish. The pop-up closes and PingDaily shows your verified number and display name.

That’s it. From this moment, every reminder uses your number.

Can’t complete the setup? We’ll do it for you.

The Embedded Signup pop-up doesn’t always work — some Facebook account types, certain regions, or pop-up blockers can get in the way. If you get stuck at any step:

After BYO is connected

  • You switch from credits to a flat monthly BYO Pro plan. Predictable pricing, no per-message counting.
  • Customers reply directly to your WhatsApp number. Replies still appear in the PingDaily Inbox, so your staff workflow doesn’t change.
  • You unlock your own templates — see the next two sections.
  • You can Disconnect at any time from Profile, and fall back to the shared account.

10. Importing your existing templates

If you already had a WhatsApp Business Account before joining PingDaily, you almost certainly have templates already approved by Meta. Good news — you don’t need to re-create them.

  1. Open WhatsApp → Templates. PingDaily automatically fetches every template from your WABA and lists them.
  2. Each row shows the template name, language, category (Marketing / Utility / Authentication) and a status pill — Approved, Pending, Rejected, Paused or Disabled.
  3. Tap any approved template to use it inside a reminder or pack immediately.
  4. Tap Refresh status on a row if you’ve just made a change in Meta Business Manager and want the latest state.
Imported templates are read-only — they live on Meta, not PingDaily. To change wording, either edit in Meta Business Manager and re-sync, or create a brand-new version (next section).

11. Creating your own templates

With BYO connected you can design and submit your own WhatsApp templates without ever leaving PingDaily. Open WhatsApp → Templates → + New template.

Start from our catalog (fastest)

We maintain a library of proven template designs for every common business situation — appointment reminders, fee due notices, re-book nudges, festival greetings, and more. Pick one, tweak the wording, and submit. Most of these get approved within minutes because the structure follows Meta’s guidelines.

Or build one from scratch

  1. Give the template a short name (lowercase, no spaces) and pick the language.
  2. Choose a category:
    • Utility — transactional notices like appointment confirmations, payment receipts, due reminders.
    • Marketing — promotions, offers, festival wishes.
    • Authentication — one-time passwords (rare for most small businesses).
  3. Write the body. Use {{1}}, {{2}} etc. for variables (name, date, amount).
  4. Optionally add a header, a footer and up to 3 buttons (Quick reply / Call / Visit website).
  5. Watch the live preview on the right — it shows exactly how the customer will see it, with your variables filled in.
  6. Tap Submit for approval.

What happens after you submit

  • The template appears with a Pending status.
  • Meta usually reviews within a few minutes for Utility templates, up to 24 hours for Marketing.
  • When it turns Approved (green pill), the template is available everywhere — packs, custom reminders, the lot.
  • If Rejected, tap the row to read Meta’s reason. The most common cause is overly promotional wording in a Utility template. Fix and resubmit.
Tip: You can Delete any template you created — it’s removed both from PingDaily and from your WABA. Templates that are actively used by a pack or schedule will warn you first.

12. Inbox & replies

When a customer replies to a reminder, the conversation lands in your Inbox. Open it from the menu.

What you see

  • Threads list on the left, newest first. A blue dot means unread.
  • Conversation on the right with the full back-and-forth.
  • Delivery ticks: ✓ sent, ✓✓ delivered, blue ✓✓ read.
  • A coloured 24-hour window banner:
    • Green — the customer messaged you within the last 24 hours. You can reply with any free-form message (text, image, voice note).
    • Yellow — the 24-hour window has closed. WhatsApp now requires you to send a pre-approved template to re-open the conversation. The composer shows a template picker.

Replying

Type and send like any chat. You can attach a photo or PDF. Voice notes work on the mobile app.

Customer wants out

If a customer asks to stop, tap Opt out on the thread. They’ll never receive another reminder from you. (Common STOP keywords are honoured automatically — see section 17.)

13. Add-ons

PingDaily ships with the essentials built in. For everything beyond, we have Add-ons — a single screen where you can install (and uninstall) extra apps that plug into your account.

What you’ll find there

  • Teams — invite staff, departments, assign chats (covered in detail in the next section).
  • Industry add-ons — extra Reminder Packs and templates curated for specific businesses.
  • Integrations — connect PingDaily to other tools you already use.

The catalog grows over time. New apps show up automatically.

Installing an app

  1. Open Add-ons from the menu.
  2. Tap an app to see what it does and how it’s priced. Some apps are free, some are a flat monthly fee, some charge per user.
  3. Tap Install. Paid apps redirect you to a secure payment page (Stripe). After payment, the app is active immediately.
  4. Status badges on the catalog tell you what’s going on at a glance: Trial, Installed, Past due, Cancelled.

Uninstalling

Open the app in Add-ons and tap Uninstall. For paid apps you’re also given a link to the billing portal to cancel the recurring charge.

14. Teams — work with your staff

The Teams app is one of the most-loved add-ons. It lets your staff log in with their own phone numbers, share the Inbox, and split work by department — without sharing your login.

Pricing

₹499/month base, which includes 3 seats (you + 2 teammates). Each extra seat is ₹199/month. Install or cancel anytime from Add-ons.

Install Teams

  1. Open Add-ons → Teams → Install.
  2. Complete payment. A new Team entry appears in your menu.

Create departments

Open Team. The first thing to set up is Departments — for example Reception, Sales, Support. Tap + Department, give it a name, save. Rename or delete any time.

Invite teammates

  1. In the Members section, tap + Invite.
  2. Enter the teammate’s 10-digit mobile number and their name.
  3. Pick their department.
  4. Pick their permissions:
    • Inbox — read & reply to chats.
    • Reminders — schedule new ones, edit existing ones.
    • Contacts — view, add, edit your contact list.
    • Templates — submit and edit WhatsApp templates.
    • Billing — view invoices, change plan.
    You decide per teammate. A salon receptionist might get only Inbox + Contacts; your manager gets everything.
  5. Send invite. They get an SMS / WhatsApp with a sign-in link. When they sign in with their own number, they pick your business from the workspace picker.

Assign a chat to a teammate

Open any thread in the Inbox. Tap Assign at the top:

  • Assign to a person — only that teammate sees a notification and is responsible for replying.
  • Assign to a department — anyone in that department can pick it up; the first to reply takes ownership.
  • Unassign to send it back to the general pool.

Each member’s Inbox filters down to “Assigned to me” by default, so no one wastes time on someone else’s conversation.

Remove a teammate

Owners can remove any member from the Team page. They lose access immediately and their chat assignments fall back to the department (or unassigned).

The Teams app is owner-only to manage. Members can use the features their permissions allow, but only the workspace owner can invite, remove, or change permissions.

15. Plans, credits & billing

Shared account — credits

On the shared WhatsApp number you pay per message using credits. Open Billing and use the slider to buy a top-up — the more you buy in one go, the cheaper each credit gets. Credits never expire.

BYO Pro plan

Once you’ve connected your own WhatsApp number (see section 9), you switch to a flat monthly BYO Pro plan. Predictable pricing, unlimited reminders, and you pay WhatsApp’s conversation charges directly to Meta (cheaper than reseller pricing).

Invoices & payment method

Tap Manage billing on the Billing page. This opens a secure portal where you can download invoices, update your card, change your plan or cancel.

Add-ons

Each add-on is billed separately (Teams, integrations, etc.). You can cancel any add-on from the same billing portal without touching your main plan.

16. Quiet hours

Customers don’t want a reminder at 6 a.m. on a Sunday. Set Quiet hours once and PingDaily will hold any message that falls inside the window until the quiet hours end.

  1. Open Profile → Quiet hours.
  2. Pick a start and end time (for example 21:00 to 08:00).
  3. Pick your timezone. Default is Asia/Kolkata.
  4. Save.
A reminder scheduled for 7 a.m. will quietly wait until 8 a.m. and go out then. You’ll see a small clock badge on those rows in My Obligations so you know they’re deferred.

17. Compliance: STOP & opt-out

WhatsApp takes opt-outs seriously, and so do we. PingDaily automatically opts out any customer who replies with one of these keywords — you don’t need to lift a finger.

  • English: STOP, UNSUBSCRIBE, CANCEL, OPT OUT, REMOVE ME.
  • Hindi: रोको, बंद करो, मत भेजो.
  • Hinglish: BAND KARO, ROK DO, MAT BHEJO.

The customer is removed from all future reminders, and you’ll see an Opted out badge on their contact card. You can also opt someone out manually from Contacts or from any Inbox thread.

Tip: Don’t try to re-add an opted-out customer — it violates WhatsApp policy and can get your number suspended. If they change their mind, they have to message you first to re-open the conversation.

18. Troubleshooting

I didn’t get the OTP

Check WhatsApp first — that’s our default channel. If you’re not on WhatsApp, the SMS fallback usually arrives within 30 seconds. Tap Resend after one minute. If it still doesn’t come, check that your phone number is entered correctly (no extra digits, no leading zero).

A reminder didn’t go out

Open the reminder in My Obligations and look at the status. The most common reasons are:

  • Contact opted out — replied STOP. You’ll see an Opted out badge.
  • Out of credits (shared account) — top up from Billing.
  • Quiet hours — it’s waiting for the window to end.
  • Template not approved — for custom templates that are still Pending or got Rejected.

The BYO pop-up keeps closing

Allow pop-ups for pingdaily.app in your browser, sign out of all other Facebook accounts in that browser, and try again. If it still fails after two tries, email support@pingdaily.app — we’ll set it up for you.

A template was rejected

Tap the rejected template to read Meta’s reason. The two most common causes are: (1) marketing language inside a Utility template, and (2) variables without enough surrounding context. Adjust the wording and resubmit.

A teammate can’t see something they should

Owners can adjust a teammate’s permissions any time from Team → Members → ⋯ → Edit permissions. Changes take effect on their next page load.
