Your outstanding report is ready in Tally. The next task is familiar: find the customer's number, check the balance, type a reminder and remember to follow up.

The difficult part is keeping the message aligned with the books. A receipt may have been posted since the last export. Two ledgers may have similar names. A customer may have already asked for an invoice correction.

A useful Tally-to-WhatsApp workflow connects three things: the current accounting record, the correct contact and a clear next action. Here is how to set one up without losing control of what goes out.

Start with one reminder workflow

Choose a narrow first use case, such as a weekly review of outstanding customer invoices. Write down who reviews the data, when the reminder should be created and who handles replies.

Avoid enabling every available rule on the first day. Start with a small internal test set, then a carefully reviewed customer group.

For example, a service business might decide:

  • The accounts team checks outstanding balances each Monday.
  • Only approved customer mappings enter the reminder workflow.
  • Disputed balances go to a person for review.
  • Future reminders are reviewed after a payment or payment-plan change.

This is an example operating process, not a promise that every exception is automatically handled by the integration.

Check these fields before sending

FieldWhat to verifyWhy it matters
Party ledgerThe correct customer or supplierSimilar names can refer to different accounts
WhatsApp numberThe intended recipient's current numberA valid number can still belong to the wrong person
Outstanding balanceUpdated receipts and adjustmentsAn old balance produces an incorrect reminder
ReferenceThe invoice or account being discussedCustomers need to identify the payment
BranchThe correct source of the recordsBranch-specific records need the right context
Last syncThe data has refreshed successfullyA connected account can still have stale data

Keep a named reviewer for mapping changes. Do not treat a successful import as confirmation that every contact is correct.

Connect Tally to PingDaily

PingDaily's Tally integration uses a connector on the Windows computer running Tally. The workflow supports branch connections, party-to-contact mapping and reminder rules for receivables and payables.

The setup sequence is:

  1. Confirm compatibility and feature access with PingDaily.
  2. Create the relevant branch connection.
  3. Pair the connector on the Tally computer.
  4. Check connection health and synchronization.
  5. Review the imported parties and contact mappings.
  6. Choose the reminder rule and an approved message template.
  7. Test the generated reminder before enabling a wider workflow.

The feature is currently in beta and is priced separately. Tally and the connector must remain reachable for synchronization. Automated low-stock alerts are not currently supported.

Write a reminder that is easy to answer

The customer should understand the account, amount and requested action without needing a second message.

An illustrative draft:

Hello [Customer name], our records show [Amount] outstanding for [Invoice reference] as of [Date]. Please reply with a payment update, or let us know if you need the invoice resent. — [Business name]

These bracketed fields are writing examples, not literal PingDaily template syntax. Map the variables supported by your selected template and rule. Review the final rendered message before sending.

Keep follow-ups within the recipient's permission and honor opt-outs, as required by the WhatsApp Business Messaging Policy.

Make customer replies part of the process

The reminder creates work as well as resolving it. Typical replies include:

  • “We paid yesterday.”
  • “Please send the invoice again.”
  • “The balance includes a credit note.”
  • “We can pay on Friday.”

Use the shared WhatsApp inbox to review those responses. With Teams enabled, assign the conversation to the person responsible for the account.

A customer's “paid” reply is a reason to check the accounting record. Reconcile the receipt in your normal process before treating the invoice as settled, and review any reminders already scheduled.

Three problems to investigate first

The balance looks wrong. Check the source report, the selected branch and the last successful sync. Confirm that receipts and adjustments have been entered in Tally.

A reminder goes to the wrong person. Review the party-to-contact mapping and the phone number. Pause the affected workflow while correcting it.

No reminder appears. Check connector health, the rule's enabled state, filters and the selected template. An ineligible record should not be forced through just to make the queue look active.

Measure useful outcomes

For a weekly review, count incorrect reminders, unmapped parties, unresolved replies and time spent preparing the follow-up list. Track whether staff can explain why each reminder was created.

Delivery status is useful, but it is not evidence that a payment has been received. Keep communication reporting and accounting reconciliation distinct.

Frequently asked questions

Can I connect several branches?

The integration supports branch-level connections within a business. Each branch needs its own appropriate pairing and synchronization setup.

Will reminders automatically stop after every payment?

Do not assume that a payment automatically cancels every already-scheduled message. Review the current accounting data and pending reminders as part of your receipt process.

What if my follow-up list lives in Excel instead?

See the guide to Google Sheets and Excel WhatsApp automation. Spreadsheet access is currently by request.
