Google Sheets to WhatsApp: Turn Rows into Customer Follow-Ups
Turn Google Sheets and Excel rows into WhatsApp follow-ups. Learn which columns to prepare, how scheduling works and what to check before sending.
Your follow-up system may already exist. It is the spreadsheet with customer names, phone numbers, due dates and a column someone colors green after sending a message.
That sheet is a useful starting point. The work to automate is the handoff from a row to a correctly addressed, correctly timed WhatsApp message.
This guide covers the structure, checks and everyday operating process for that workflow. PingDaily's Spreadsheet Automation is currently available by request, so confirm access and supported connection options before planning your rollout.
Choose a connected sheet or an uploaded file
The distinction affects how fresh your sending data will be.
| Source | How it works | Good fit |
|---|---|---|
| Google Sheets | A connected workbook is checked periodically | A list your team updates throughout the week |
| Excel Online | A connected online workbook is checked periodically | A workflow maintained in Microsoft 365 |
| CSV or XLSX upload | PingDaily uses the uploaded snapshot | A reviewed, one-off sending list |
Editing a file on your laptop does not change an uploaded snapshot. Refresh it through the upload workflow. Connected accounts also need valid permissions and a healthy connection to continue syncing.

Give each row a clear meaning
Use one row for one intended message or follow-up event. Avoid mixing customer notes, subtotal rows and sending records in the same range.
A practical starter layout is:
| Column | Example value | Use |
|---|---|---|
| Customer name | Example Customer | Personalize the message |
| Phone | Recipient's international-format number | Address the message |
| Reference | COURSE-OCT-014 | Identify the appointment, fee or request |
| Due date | 25 October 2026 | Explain the deadline |
| Send at | 23 October 2026, 10:00 | Schedule the follow-up |
| Status | Leave empty initially | Receive the workflow result, if configured |
These are suggested column labels. The mapping step tells PingDaily which actual column to use for each supported field and template variable.
Keep numbers as text where needed so a spreadsheet does not remove a leading plus sign or convert a long number into scientific notation.
Map the message before activating the sheet
Start with the message you want the customer to receive:
Hi [Name], this is a reminder about [Reference], due on [Due date]. Please reply if you need help. — [Business name]
Treat this as a writing example. Choose an approved template in the workspace and map its actual variables to your columns.
Before saving, ask:
- Does each variable come from the intended column?
- Are any required values missing?
- Is the date understandable to the recipient?
- Does the business name match the sender?
- Would two rows accidentally produce the same follow-up?
Obtain recipient permission, respect opt-outs and use approved templates where required by the WhatsApp Business Messaging Policy. A phone number in a sheet is not permission by itself.
Understand what “scheduled” means
Connected spreadsheets are checked periodically. A newly added row is not a promise of an instant send.
The result depends on the link being active, the connection working, the selected template being usable and the row being eligible. A future send time also keeps the row waiting until the relevant check after that time.
Confirm the link's timezone before testing. A date-only value can be interpreted differently from the precise time your team intended.
For a workflow that does not need a spreadsheet, create a WhatsApp reminder directly.
Test with a small review sheet
Create a separate test sheet using numbers you control. Include a normal row, a scheduled row and a row with a deliberately missing required value.
Check the resulting behavior:
- The valid row uses the correct name and reference.
- The scheduled row waits as expected.
- The incomplete row is visible for correction.
- Results appear on the link's row list.
- If you mapped a status column on a supported connected source, the writeback behaves as expected.
An uploaded snapshot cannot write changes into the original local file. Keep that difference clear for the people maintaining the list.
Review skipped and failed rows
“Skipped” is not always an error. It can reflect a recipient or duplicate safeguard. Read the recorded reason before changing the source.
For failed rows, investigate the connection, number, template and variable mapping. Avoid copying the same row into several sheets to force another send: that makes it harder to understand which attempt a later result belongs to.
Treat “sent” as a messaging result, not proof that the customer has read the message or completed the requested action.
Example: a course fee follow-up list
A training business keeps course references and fee dates in a workbook. One staff member reviews the sending rows, while another handles replies.
After a student replies, staff review the conversation in the shared inbox and update the fee record through their normal process. They also review future follow-ups when a payment date changes.
The useful improvement is a clear path from reviewed row to message to response, with someone accountable at each stage.
Frequently asked questions
Do I need to write a Google Apps Script?
The PingDaily workflow uses connection and column-mapping screens. You do not need to write a custom Apps Script for the supported workflow.
Can I use an Excel file from my computer?
A CSV/XLSX upload provides a snapshot. Ongoing synchronization requires a supported connected online source.
Is this available in every workspace?
