The price of one WhatsApp message tells you very little about your monthly budget. A business sending payment reminders has a different message mix from a retailer running campaigns or a team handling customer questions.

Start with the calculator above. Then use this guide to understand the charges, check your assumptions and decide whether the workflow is worth the spend.

This guide uses Meta's India INR list rates effective 1 October 2026, checked on 23 October 2026. It is a planning estimate for one business phone number and Indian recipients. Account-specific pricing, discounts, tax and delivery outcomes can change your actual bill.

WhatsApp API pricing in India: current rates

CategoryINR per delivered messageTypical use
Marketing₹0.8631Offers and promotional follow-ups
Utility₹0.1150Transactional reminders and order updates
Authentication₹0.1150Domestic OTP and identity verification
Service₹0.1150 after the free allowanceNon-template replies to customers
Authentication international₹2.4971 when applicableInternational authentication eligibility rules apply

These figures come from the India row of Meta's INR rate card. The calculator uses the first four categories; it excludes international authentication and Meta Business Agent pricing.

Meta charges by delivered message, category and recipient market. Incoming customer messages are not charged. Your company's location alone does not determine the recipient rate. Read Meta's pricing documentation for the current rules.

What changed in October 2026?

Service replies now have a monthly free allowance of 1,000 messages per business phone number; subsequent service messages are charged. The allowance resets monthly without rollover. Utility templates inside the customer service window are now charged too.

The 24-hour window still determines when non-template replies can be sent. It does not make unlimited replies free. Eligible free entry point windows remain a separate exemption. See Meta's current pricing rules.

For budgeting, count the replies your business sends, including automated follow-ups. Five separate replies can consume five messages. Combine information where that makes the answer clearer; avoid turning a simple update into a chain of unnecessary messages.

How to use the WhatsApp cost calculator

  1. Choose one business number and one month. Enter delivered outbound volumes, not contacts or conversations. One contact may receive several messages.
  2. Split volumes by category. Use the actual approved template category. Calling an offer a “reminder” does not make it utility.
  3. Exclude free entry point messages. Enter service replies before deducting the monthly allowance; the calculator deducts it once.
  4. Review platform and extra costs. The default is PingDaily BYO Pro at ₹9,999 per year. Its ₹833.25 monthly equivalent is a budgeting allocation, not a monthly billing option. Optional features, ad spend, setup costs and provider charges belong in the extra-cost field where relevant.
  5. Set your estimated tax. The default is 0%, so the initial result is before tax. A percentage entered here applies to the whole subtotal for simplicity. Reconcile the separate Meta and software invoices for actual tax treatment.
  6. Add realistic business-value assumptions. Estimate time released and additional order profit from your own workflow, rather than assuming every message creates a sale.

For several business numbers, estimate each separately. Do not pool the free service allowance or count one shared software subscription multiple times. This simple calculator uses list rates; eligible utility and authentication volume tiers can lower your final cost. Other portfolio traffic can also affect those tiers.

A worked example: reminders, campaigns and replies

Suppose one number delivers 1,000 marketing messages, 3,000 utility messages, no authentication messages and 1,500 service replies in a month. None is in a free entry point window.

Budget itemCalculationMonthly equivalent
Marketing1,000 × ₹0.8631₹863.10
Utility3,000 × ₹0.1150₹345.00
Service(1,500 − 1,000) × ₹0.1150₹57.50
Meta messaging subtotalSum of message charges₹1,265.60
PingDaily BYO Pro₹9,999 ÷ 12₹833.25
Combined budget before tax and extras₹1,265.60 + ₹833.25₹2,098.85

This is the calculator's starting example, not a customer result. Your annual PingDaily payment and Meta billing happen according to their respective billing arrangements. Check the current PingDaily pricing before purchasing.

The formula is:

Monthly budget = marketing cost + utility cost + authentication cost + billable service cost + annual platform fee ÷ 12 + other monthly costs + estimated tax.

Message rates use four decimal places. The calculator rounds monetary subtotals to paise instead of rounding each message to whole rupees.

Measure business value, not just message volume

The useful question is what changes after the messages are delivered. Start with a measurable operational problem: staff spending hours chasing invoices, customers missing appointments, or two people answering the same inquiry.

The calculator uses two independent inputs:

  • Capacity value: hours released × your chosen hourly value.
  • Additional profit: incremental orders attributable to the workflow × contribution per order after variable costs.

It subtracts the estimated monthly budget from their sum. If you release 10 hours valued at ₹300 per hour, the example above gives ₹3,000 of capacity value and ₹901.15 of modeled net value, assuming no extra orders, taxes or extra costs. Released time is not a cash saving unless it changes costs or is productively redeployed.

At ₹500 contribution per additional order, five additional orders would cover the ₹2,098.85 monthly budget without assigning any value to time. Use profit, not sales revenue. Avoid counting the same benefit twice as both time savings and additional profit.

Payment collection needs a different interpretation: collecting an existing invoice earlier improves cash timing; the full invoice amount is not new revenue. Track days to payment and hours spent following up instead of calling all collections a return on messaging spend.

Where PingDaily can help

Connect the estimate to a workflow you can actually run:

  • Payment follow-ups: use WhatsApp reminders and a clear schedule, then measure manual follow-up time and payment timing. Start with our payment reminder guide.
  • Team responses: use the shared inbox to make ownership and reply history easier to follow. Measure response time and duplicate replies.
  • Repeatable operations: explore spreadsheet automation when your process already lives in rows and due dates. Measure preparation time and missed follow-ups.

PingDaily's platform fee and Meta messaging charges are separate. BYO Pro uses your connected WhatsApp Business account, with Meta billing your business for messaging. Some features have separate pricing and requirements; review the feature catalog before adding their benefits to your business case.

For a useful pilot, record a baseline, choose a small eligible customer group, run one workflow, and compare delivered messages, costs and outcomes. Respect customer preferences and stop unwanted follow-ups. Scale the workflow when your own results justify it.

Frequently asked questions

How much do 1,000 WhatsApp marketing messages cost in India?

At ₹0.8631 each, 1,000 delivered marketing messages cost ₹863.10 in Meta charges before tax, platform fees and any applicable exemptions. The number of recipients is not necessarily the number of billed messages.

Are WhatsApp customer-service replies still free?

The first 1,000 eligible service messages per business phone number per month are free under the October 2026 rules. Further India service messages are ₹0.1150 each at list rate. Special exemptions and free entry point rules can apply.

Is this the price of the WhatsApp Business app?

This article estimates WhatsApp Business Platform/API messaging and the PingDaily software plan. It is not a price calculator for the standalone WhatsApp Business mobile app.

Does PingDaily's plan include Meta message charges?

No. The calculator displays them separately. The default ₹9,999 annual BYO Pro platform fee is allocated across 12 months for comparison. Meta charges and optional features are additional.

Will this calculator match my invoice exactly?

No. It is a list-rate planning tool. Delivered volume, category decisions, international authentication, eligible discounts, free windows, tax, other services and account-specific rules can change the invoice. Confirm those details in your account before committing to a campaign.

Will WhatsApp automation guarantee more sales?

No. Delivery, customer interest, message relevance and the quality of your follow-up all matter. The value section shows the outcome of your assumptions, not a promise of sales or savings.
